Join our team as the Operations Assistant. We're on the lookout for a detail-oriented professional to take charge of various responsibilities involving payroll, HMO management, billing, and more. If you have a knack for handling these tasks with precision and ensuring everything runs like clockwork, we want to hear from you!
Job Description:
* Responsible for all tickets in Zoho Desk involving Payroll/HMO/Billing Management
- Complete all tickets within our established timeframes
- Complete all steps to process requests according to our SOPs
- Bonus Processing
- Raise Processing
- HMO
- Billing
- Correction Requests
- Overtime Processing
* Clockit Management
- Review/Approve on Correction Requests from VAs
- Review/Approve Leave Requests from VAs
- Identify and work with Clockit to fix any inconsistencies and issues with the system.
- Manage custom holidays requested by clients
- Mange custom (additional) PTO additions requested by clients
* Provide ICC as requested
* HMO Management
- Review/Request documents for eligible VAs and submit by deadline
- Provide correspondence regarding the process
- Process additional paid dependent requests
- Manage and request mail out of HMO cards
* Email Raise information to clients
- Complete raise implementation after approval
* Pre-process Payroll up to final approval by Jaffra
* Manage monthly client billing
- Billing Audit end of prior month
- Daily follow up on any outstanding billing for quick resolution/follow standard process for addition of fees.
* Monitor Direct Hire Spreadsheet
* Manage Veem communication and timelines
* Give updates to the Support Supervisor regarding billing audit, payroll, and raise statuses.
* Give updates to the Support Supervisor regarding any issues with role responsibilities and suggest plans for improvement.

Requirements
- Proven work experience in operations management in a corporate or remote work setting
- Meticulous attention to detail
- Exceptional verbal and written communication skills
- Fluent in English
- Experience in client communication,
- Excellent organizational skills
- Absolute team player
- Ability to work independently
- Ability to work under high-pressure
- Collaborative mindset to provide regular updates to the Support Supervisor and work collectively towards improvement plans
