Position Overview:
We are seeking a detail-oriented and organized Bookkeeping Assistant to join our team and support our bookkeeping and client management processes. The ideal candidate will have a keen eye for accuracy, excellent communication skills, and a deep understanding of CRM (JobNimbus) systems, QuickBooks, data entry, and reporting. As a Bookkeeping Assistant, you will play a crucial role in maintaining accurate client records, coordinating job scheduling, and ensuring smooth communication with clients.

Responsibilities:

Incoming Call Monitoring: Manage incoming calls from clients, providing professional and friendly assistance, addressing inquiries, and directing calls to the appropriate team members as needed.
CRM Management: Create and update client contacts in our CRM system, ensuring that all information is accurate and up to date. Organize client communication history for easy reference.
Job Creation and Scheduling: Enter new job details into our system, accurately capturing project specifications and requirements. Coordinate with team members to schedule site visits and assignments, ensuring timely execution.
Data Entry: Perform data entry tasks accurately and efficiently, inputting financial information, client details, and job-related data into various systems, including Excel spreadsheets and QuickBooks.
Reporting: Generate regular reports using Excel and other tools, summarizing key financial and operational metrics. Identify trends, anomalies, and potential areas for improvement based on the data.
QuickBooks Expertise: Utilize your deep understanding of QuickBooks to manage financial transactions, track expenses, reconcile accounts, and ensure accurate record-keeping.

Proven experience in data entry, administrative support, or bookkeeping roles.
Proficiency in Microsoft Excel, including the ability to create and manipulate spreadsheets, perform data analysis, and generate reports.
Deep understanding of QuickBooks and its features, with a track record of accurate data management within the software.
Familiarity with CRM systems and contact management processes.
Excellent communication skills, both written and verbal.
Strong attention to detail and accuracy.
Ability to multitask, prioritize tasks, and meet deadlines in a fast-paced environment.
