Job Summary: The Vendor Management Specialist plays a pivotal role in ensuring the success of our vendor relationships by overseeing all aspects of vendor performance and interactions. This position involves a combination of vendor selection, contract negotiation, performance evaluation, and continuous improvement. The Vendor Management Specialist will collaborate closely with various departments to ensure the seamless delivery of products/services and to drive cost efficiencies.
Key Responsibilities:
Vendor Selection and Evaluation:
- Identify potential vendors through market research and assessments.
- Conduct vendor assessments, including financial stability, capabilities, and reputation.
- Evaluate vendor proposals and negotiate terms and pricing to secure mutually beneficial agreements.
- Manage the vendor onboarding process, including necessary documentation and approvals.
Contract Coordinator:
- Provide support in the drafting, reviewing, and basic management of vendor contracts, under guidance, to ensure adherence to company policies and legal standards.
- Learn to monitor contract performance and compliance within vendor relationships, assisting with tracking progress.
- Help maintain organized contract records and assist in tracking renewals to support ongoing alignment with business requirements, following established procedures.
Vendor Performance Management:
- Establish and monitor vendor performance metrics and key performance indicators (KPIs).
- Conduct regular vendor performance reviews and provide feedback to vendors.
- Collaborate with vendors to address performance issues and drive continuous improvement.
Relationship Building:
- Cultivate and maintain strong working relationships with key vendor contacts.
- Act as the primary point of contact for vendors, addressing inquiries and resolving issues.
- Promote collaboration and effective communication between internal teams and vendors.
Cost and Risk Management:
- Identify opportunities for cost savings and efficiency improvements in vendor relationships.
- Mitigate risks associated with vendor contracts and relationships.
- Monitor vendor compliance with regulatory requirements and industry standards.
Reporting and Analysis:
- Prepare and deliver regular reports on vendor performance, contract compliance, and cost analysis.
- Analyze data to identify trends and make data-driven recommendations.
Qualifications:
- Proven experience in vendor management, procurement, or supply chain management.
- Strong negotiation, contract management, and analytical skills.
- Excellent communication and interpersonal abilities.
- Familiarity with vendor management software and tools.
- Strong project management and organizational skills.
- Attention to detail and ability to multitask effectively.
Familiarity with the healthcare business preferred.
