Job Overview:
We are seeking a dynamic and organized individual to fill the role of Office Manager for our diverse portfolio of businesses. The ideal candidate will be well-versed in administrative duties, possess strong bookkeeping skills using QuickBooks Desktop and Online, and be comfortable managing various tasks simultaneously. This is a full-time position that requires autonomy, excellent communication skills, and the ability to wear multiple hats.
Responsibilities:
Bookkeeping:
- Proficient in QuickBooks Desktop and Online for accurate bookkeeping.
- Handling outstanding bills, ensuring timely payments, and managing collections.
- Generating and sending invoices to clients.
- Conducting customer follow-ups to ensure timely payments.
Administrative Duties:
- Managing and organizing schedules using tools like Trello.
-Supporting various administrative tasks as needed.
- Answering phone calls and directing them appropriately.
Multi-Tasking:
- Comfortably handling multiple responsibilities simultaneously.
- Adapting to the needs of different businesses within the portfolio.
Communication:
- Excellent communication skills for effective collaboration with teammates and clients.
- Providing updates and reports on outstanding bills, collections, and other relevant matters.
Qualifications:
- Proven experience with QuickBooks Desktop and Online.
- Strong organizational and multitasking abilities.
- Proficiency in tools like Trello for scheduling and organization.
- Excellent communication skills, both verbal and written.
- Ability to work autonomously and take initiative.
- Previous experience in office management or a similar role is a plus.
Working Hours:
Monday to Friday, 9:00 AM to 5:00 PM. Flexibility may be required based on business needs.
